Tri-Me Events & Services LLC is dedicated to providing high-quality venue and event services. Because event planning, staff scheduling, venue reservations, and equipment preparation require significant advance coordination, all bookings made with Tri-Me Events & Services LLC are subject to the following Refund and Cancellation Policy.
1. Non-Refundable Retainer Fee
Purpose and Allocation: All bookings require an initial retainer fee at the time of reservation. Retainer fees are strictly non-refundable.
Material & Operational Costs: This fee directly covers administrative expenses, date locking, venue holding costs, and the advance procurement of tools, materials, and supplies required to prepare for your specific event.
Non-Transferable: Retainer fees cannot be refunded under any standard cancellation circumstances.
2. Standard Cancellation & Refund Schedule
If a client chooses to cancel a booked service or venue reservation, any additional payments made beyond the initial non-refundable retainer fee will be eligible for a partial refund based on the notice provided prior to the scheduled event date: All refunds if approved will be returned within 30days.
Cancellation Timeline | Refund Eligibility (Additional Payments) | Retainer Status |
|---|---|---|
30+ Days Prior to Event | 75% refund of additional payments made | Non-Refundable |
14 to 29 Days Prior to Event | 50% refund of additional payments made | Non-Refundable |
Less than 7 Days Prior to Event | 0% refund (No refunds issued) | Non-Refundable |
3. Same-Week Booking Exception
24-Hour Cancellation Window: If a service or venue rental is booked within the same calendar week as the scheduled event date, the client has 24 hours from the exact time of booking to cancel the reservation.
Eligible Refund: Cancellations submitted in writing within this 24-hour window will receive a refund of additional payments, minus the retainer fee and any direct expenses already incurred for materials or tools.
Expiration: Once the 24-hour grace period passes, standard cancellation rules apply, and bookings fall under the non-refundable 7-day policy window.
4. Severe Weather & Force Majeure Policy
Official Weather Declarations: Severe weather conditions are defined as official severe weather advisories, warnings, or emergency declarations dictated by local news outlets or emergency management authorities within Cuyahoga County or the Greater Cleveland area.
No Cash Refunds: In the event of severe weather that prevents the event from taking place safely, no monetary refunds will be issued.
Rescheduling Option: Clients affected by severe weather will be permitted to transfer all funds paid (including retainer fees) to a new date.
Timeframe for Rescheduling: The new event date must be mutually agreed upon in writing by both Tri-Me Events & Services LLC and the client, and must occur within 6 months (180 days) of the original event date. If the event is not rescheduled within 6 months, all payments and fees will be forfeited.
5. Written Cancellation Requirement
All cancellation and rescheduling requests must be submitted in writing via electronic mail or through our website contact form to Tri-Me Events & Services LLC. The effective time and date of cancellation will be determined by the timestamp of the written notification received.
6. Governing Law & Local Jurisdiction
This policy shall be governed by and construed in accordance with the laws of the State of Ohio. Any legal disputes, mediation, or proceedings arising under or relating to this policy or services provided by Tri-Me Events & Services LLC shall fall under the exclusive jurisdiction of the state courts located in Cuyahoga County, Ohio.
